The Threat of Last-Mile Provisioning

How often does it happen that your ex-employee still has access to your company’s information? Situation

Suntex Marinas is the largest standalone recreational marina owner in the U.S., with marinas in 15 states, including Texas, California, Florida, and others. The company is home to over 1600 employees with its operations spanning over 50 marina properties and has been an industry leader for the past 15 years.

With their state-of-the art facilities and exceptional approach to business, they were able to grow exponentially in just a decade. However, with the growth, they faced a critical challenge, something that could become a major setback, managing employee transitions.

The companies relied on ServiceNow to create tickets for removing physical access of terminated employees. However, this process was manual, and it required the HR-IT teams to raise tickets every single time an employee left the organization. Given the scale of Suntex Marinas operations, there were frequent incidents of human-errors in this task.

Struggles and Pains of Suntex Marinas

The manual process of updating ServiceNow tickets presented several significant risks and efficiencies for the enterprise. These included-

Human Errors – Relying on manual task of ticket creation, many times they were forgotten or delayed. Furthermore, it became challenging for the Sysadmins to manage with the increasing scale of operations of the company.

Operational Inefficiencies – The teams spend excessive amount of time tracking and removing access, which in turn diverted their focus from higher-value tasks.

Security Vulnerabilities – Without complete removal of access, terminated employees could pose serious security access for the company.

Suntex Marinas was pressingly looking for a solution that could help them optimize ServiceNow’s overall workflow. The team was particularly concerned about integration challenges with ADP’s API, requiring a seamless connection between HR and IT systems for better workforce management.

After 300+ hours of conversations, and approvals, we implemented Hire2Retire to integrate their ServiceNow with their ADP. Furthermore, we also integrated all their existing systems to ADP in Hybrid AD setup. This integration allowed the organization to automate the entire employee offboarding process. Automated Ticket Creation: The integration between their ADP to AD ensured that as soon as the employee departure was recorded in their HR systems, a ticket would be automatically generated in ServiceNow for their access removal.
