Situation

OrthoIndy is a highly respected orthopaedic practice in the Midwest. Their mission is to offer the highest quality care to patients. It is a recognized Blue Distinction Centre which certifies that its hospitals meet nationally established criteria for delivering quality specialty care, safely and effectively. This distinction also focuses on the efficiency of its facility and providers at all the locations.

OrthoIndy realized that in order to continue providing leading-edge patient care across multiple locations with 900+ employees, they need to effectively manage their employee onboarding, role changes, and terminations and tie it to the access to controlled and regulated Patient Information and other clinical systems.

Struggles and Pains

Owing to its presence across multiple locations and employing over 900 employees, OrthoIndy faced challenges in creating role-based privileges and managing access to its patient and clinical data systems. The lack of streamlined roles and identities provisioning in the Active Directory (AD) in line with HR job profiles created potential security issues due to unprivileged access and delays in access removal upon terminations.

There were also delays in creating identities, emails, and providing access to clinical systems needed to perform the job when the new employees were hired.

Due to not having well-defined role-based access to patient and clinical systems, the doctors and physicians experienced difficulties in accessing patient information, medical reports, and clinical data. This affected the quality of patient care and the overall functioning of clinics, leading OrthoIndy to search for the perfect employee lifecycle management solution.

Resolution

Hire2Retire, RoboMQ’s employee lifecycle automation product, helped OrthoIndy deliver quality patient care services and streamlined operations across its locations with ADP to AD integration. Hire2Retire automated the timely creation of user identities and accounts and assigned role-based access to critical patient information and clinical systems.

Hire2Retire helped OrthoIndy:

Implement role-based access control to ensure privileged need-to-know basis access to patient and clinical data systems

Provide a superior “First Day at Work” experience with the new hires being setup with their accounts, email, and access to system when they walked in

Prevent data security risks by ensuring terminated employee’s access was removed in near real-time time and they did not walk away with sensitive protected data
