How Do Most companies Manage Identity and Access for Joiners, Movers, and Leavers (JML)?
Creating employee accounts, granting privileges and access to systems, resources and applications is one of the most common business processes in any organization that has human resources or most of us. Joiners, Movers and Leaver (JML) is often what we call this business process where upon hiring (the “Joiner”) the employee is onboarded in HR along with IT and identity systems so that the new hire has the access, resources and privileges to perform his or her job on the day one.
Similarly, when people move across the organization as in change of role, promotion, or department changes the updates in the HR profile are applied to the user identity in Active Directory, Entra ID or Google workspace as the case may be, supporting the “Mover” or the profile update scenario. These processes have been performed in organizations since time immemorial and we certainly had a hunch that these are often performed manually. To understand the current state, we ran a survey on LinkedIn. We asked the respondent how they currently manage employee identity lifecycle from HR to Identity (AD, Entra ID or Google Workspace).

The results stunningly pointed to a lot of manual work by sysadmins who are skilled and costly resources. An overwhelming 85% of the organizations had HR create a service desk ticket that was handled by IT sysadmin either manually or using a combination of manual work and scripts developed over time. 4% of respondent sent an email to IT for onboarding and offboarding. Another 4% would call IT helpdesk to take care of it, and an 8% of the organizations sent a weekly excel tracker to IT for new hire, change of roles and termination handling.
Given the amount of integration and automation that is possible today the results of the survey were disappointing. 85% of the organization using an ITSM or service desk is great from the trackability perspective, but a lot can be done to avoid cost, bring reliability, provide better employee experience and prevent data and security risks.
